How to Specify Sheet and Coil Appearance: Roles of Mill Samples and Processed Coupons

Unclear appearance requirements often cause disputes at receiving. This article explains what mill samples, formed coupons and coated coupons each verify, using a spray-painted enclosure and stainless steel finish as examples to show how to specify visible surfaces, grain direction and handling protection.

Clarify What You Are Inspecting Before Appearance

The key to specifying coil appearance is not how many adjectives you use, but first defining what is being inspected. A mill sample is taken from a flat area of the delivered coil and used to compare surface condition, color and grain direction. A formed coupon goes through leveling, slitting or bending to check whether processing introduces new appearance changes. A coated coupon confirms coating coverage and visible-surface results after spraying. These three cannot substitute for one another. If a purchase order only says “good surface,” supplier and receiver may judge by different understandings. A more practical approach is to specify by object: what to check on the mill sample, what to check after forming, and what to check after coating, along with inspection location and lighting conditions. For example, on a spray-painted enclosure, the mill sample confirms the base sheet surface, the formed coupon confirms appearance at bends, and the coated coupon confirms the visible surface after painting. This gives both sides a common reference.

Comparing painted faces and stainless decorative surfaces

For a painted enclosure panel, inspect incoming stock, the bent part and the painted surface separately. Stock samples record the incoming condition, formed samples show processing contact zones and coated samples show the final visible face.

For stainless trim retaining its texture, mark texture and installation orientation on the drawing and keep both stock and formed samples. Protect them during handling so new scratches are not mistaken for stock differences.

What the Customer Needs to Prepare and Why

Before requesting a quote, customers can make appearance requirements more concrete by preparing three things. First, a drawing or sketch marking visible and non-visible surfaces and noting grain direction requirements. Second, a clear statement of inspection objects: whether mill samples, formed coupons, coated coupons, or all three are needed. Third, preliminary handling and packaging requirements, such as whether coupons need separators or visible surfaces need protective film. The reason is that appearance judgment depends on references and inspection conditions. Without a drawing, visible surface locations rely on verbal description. Without coupon types, the supplier cannot determine what to send. Without handling requirements, scratches in transit make inspection meaningless. For a spray-painted enclosure, visible surfaces are usually the side and front faces seen after installation, while non-visible surfaces include internal mounting faces and the inside of flanges. Putting this on the drawing is more direct than repeated email explanations. The more specific the customer’s information, the fewer back-and-forth rounds for coupon preparation and confirmation.

Can You Choose Only One Type of Sample or Coupon?

Yes, but it depends on the process route and appearance requirements. If the coil is only leveled and used directly, a mill sample is usually sufficient. If downstream forming such as bending or laser cutting is involved, a formed coupon better reflects appearance after processing. If painting or coating follows, a coated coupon corresponds to the final visible surface. When choosing only one type, confirm it covers the key process steps. For a spray-painted enclosure side panel, a mill sample alone cannot confirm grain at bends or appearance after painting; formed and coated coupons are usually needed together. In purchasing communication, stating the process sequence and appearance checkpoints directly is more effective than a general request to “provide samples.”
