Steel Reorder: Why an Old Order Number Isn't Enough—What to Clarify When Specs Change
Published
Relying only on an old order number when reordering steel can overlook changes in drawing revision, thickness tolerance, surface condition, and processing scope. This article explains how to check historical samples against the current drawing and clearly state what has changed, helping buyers and suppliers align on requirements.
Can an old order number replace the current drawing?
No. An old order number only reflects the batch and conditions of the previous transaction; it does not automatically represent the current requirement. If the drawing has been revised, or thickness, width, surface requirements, or processing steps have changed, quoting only the order number may lead the supplier to rely on old records, creating difficulties in later verification. The buyer should provide the current drawing or clear material specifications and state the differences from the previous order. For example, if the previously purchased cold-rolled coil was decoiled and laser-cut, but this time it will be slit into strip, the processing scope has changed, and the material condition and packaging requirements may also differ. Using the old order number as an index is acceptable, but not as the sole basis.
Example: Reordering a Bracket Plate
Suppose a part is a bracket plate made of carbon steel. Previously, hot-rolled coil was purchased according to an old drawing revision, then decoiled and NC-sheared into strips. For this reorder, the drawing changes the plate thickness from one value to another and adds a bending operation. The verification path could be: first locate the historical sample and old drawing to confirm the original thickness, width, and surface condition; then compare with the current drawing and mark changes in thickness, length, and bend locations; next confirm whether the incoming form remains coil or switches to decoiled plate, and whether the processing scope includes bending. If the appearance requirements after bending are higher, specify the acceptable level of surface scratches. Writing these differences into the inquiry allows the supplier to judge whether decoiling or cutting plans need adjustment.
What the Buyer Should Prepare and Why
The buyer should prepare three things: the current drawing or material specification list, a historical sample (if available), and a brief change note. The current drawing is the direct basis for the present requirement and helps avoid verbal miscommunication. The historical sample aids comparison of surface condition and processing results, especially after thickness or process adjustments, as it visually indicates acceptable appearance. The change note lists the differences from the previous order in one place—for example, thickness changed from one value to another, whether slitting or bending is newly added, and whether packaging needs adjustment. This is because the supplier needs to judge material condition and processing sequence based on the changes, rather than repeating the old order. If no historical sample exists, providing a comparison of the old and current drawings can achieve a similar effect.
What Happens If Only the Old Order Number Is Provided?
The supplier may interpret the requirement based on the previous record, overlooking drawing revisions or changes in processing scope, leading to a quote that does not match the actual need. For example, if the previous order was pickled coil but the current need is actually coated coil, merely quoting the order number will not reflect the change in material series. the old order number can serve as a reference, but the current drawing or specifications must be provided along with a note of the changes. Only then can the supplier verify material, processing, and delivery form against the current requirements, reducing later rework or communication costs.
